Company defaults and custom field labels

Punch List ships with construction defaults: fields called Floor, Room and Sheet, a cover page with your company name, and a consultant line. One screen lets you make the app read like your own paperwork: on iPhone and iPad open Settings, then Customize Fields; on Android open Settings, then Customize Field Labels. Set it once; every new list and every PDF report picks it up.

Company defaults

The top of the Customize screen holds the details that repeat on every project:

  • Company Logo. Take a photo or pick one from your library. It appears on the cover page of every PDF report. A square or wide logo on a plain background prints best.
  • Company Name. Pre-fills the Company field when you create a new list. Change it on an individual list if you work under more than one name.
  • Consultant Name. Pre-fills the Consultant field on new lists. Leave it blank if you do not use one.
  • Include Cover Page. Turns the PDF cover page on or off for your reports. Most people keep it on; turn it off for a quick one-page list you only need internally.

These defaults only apply to lists you create after setting them. To change the company or consultant on a list you already have, open the list and tap its name.

Custom field labels

Punch List has 14 labels you can rename. They sit further down the same Customize screen, in two groups, and you edit each one in place. The default labels and what they describe:

  • Issue and Issues: the item description, singular and plural, as the app uses them on screen
  • Floor, Room, Sheet: location fields on every item
  • Assign To: the trade, vendor or person responsible
  • Resolution Date: the due date on an item
  • Comment: free-text notes on an item
  • List/Report Name, Project Name, Project Number: the list itself
  • Company Name, Consultant Name, Client Name: the project parties on the cover page

A renamed label follows the field everywhere: the item form, the sort and filter options, and the column headings in PDF reports. The data underneath does not change, so you can rename a field after you have been using it for months and nothing is lost.

Some renames teams use:

  • Property managers: Floor to Building, Room to Unit, Sheet to Asset.
  • Inspectors: Issue to Deficiency, Assign To to Responsible Party.
  • Architects on AIA work: Consultant Name to Architect, Client Name to Owner.
  • Facilities teams: Resolution Date to Target Date, Sheet to Equipment ID.

Labels are stored on your device and included in any .pnch file you export, so a list you send to a colleague arrives with your labels. Their own lists keep their own labels.

Pick lists for Floor, Room and Sheet

The three location fields each keep a pick list of the values you use. When you tap one of them on an item, you get a list instead of a blank box, and you can add a new value right there without leaving the item.

To tidy a pick list, open the Customize screen and tap Floor: Values, Room: Values or Sheet: Values. From there you can add values before a walkthrough (every floor of the building, every area on the site), rename a value, or delete one you no longer need. Android keeps a values list for Assign To as well.

Assign To learns as you go instead: with Autocomplete on (the switch at the bottom of the Customize screen), names you type are suggested the next time, and a company email domain autocompletes once you have used it. See Adding items to a list.

Related settings

Two more options live on the main Settings screen rather than under Customize Fields: Add Timestamp to Photos (Timestamp Photos on Android) stamps the date and time on every photo you take in the app, and PDF Report Watermark (Watermark on Android) controls the small Punch List mark on reports (Pro subscribers can turn it off). Both are described in Taking and annotating photos and Generating a PDF report.
