Sorting and filtering items
A punch list with a few hundred items is only useful if you can get to the right ones fast. Punch List gives you two tools for that: sort, which changes the order of every item in the list, and filters, which hide everything except the items you care about right now.

Sorting a list
Open any list and tap the sort control in the toolbar. You can sort by:
- Date (Newest First). Most recently added items at the top. Useful during an active walkthrough.
- Date (Oldest First). The items that have been waiting longest at the top.
- Assigned To. Groups items alphabetically by trade or person, so you can read off everything for the electrician in one pass.
- Floor. Alphabetical by floor. Items without a floor sort to the end.
- Room. Alphabetical by room. Items without a room sort to the end.
- Sheet. Alphabetical by drawing sheet reference.
- Completion Status. Incomplete items first, completed items after. This is the closeout view: everything still open is at the top.
Punch List remembers your sort choice, so the list stays the way you left it.
If you have renamed fields in Settings (for example, changing Floor to Level), the sort options show your custom labels.
Filtering a list
Tap the filter button in the toolbar to open the filter sheet. You can filter by any combination of:
- Floor, Room, Sheet, and Assigned To. Each shows the values that actually exist in your list, and you can select more than one.
- Status. Complete, Incomplete, or both.
- Resolution date. Before a date, after a date, or between two dates.
Filters combine with AND logic: selecting Floor 3 and Electrician shows only items on floor 3 that are assigned to the electrician. While any filter is active, the filter icon shows a badge so you always know you are looking at a partial view.
Filters are temporary. They reset the next time you open the app, so you will never wonder why half your list seems to be missing days later.
Putting them together
A few combinations that come up on real jobs:
- Trade walkthrough: filter by Assigned To for one subcontractor, sort by Floor. Walk the building once, top to bottom.
- Closeout check: filter Status: Incomplete, sort by Room. Everything still open, organized the way you walk.
- Deadline pressure: filter Resolution date: before Friday, sort by Completion Status. What is due and not done.
PDF reports have their own filter step when you generate them (all items, complete only, incomplete only, or a custom selection), which is how you send each trade or the client exactly the items they need. See the Photos & PDF articles for that workflow.
