Generating a PDF report
Premium featurePunch List can turn any punch list into a professional PDF report in seconds, complete with a cover page, photos and item details, ready to email to your client, GC, or subcontractors.
Generating a report

From the items screen of any punch list:
- Tap the PDF icon in the top-right corner
- Choose which items to include:
- All. Every item in the list.
- Incomplete only. Just the items still open.
- Complete only. Items that have been resolved.
- Custom selection. Hand-pick specific items.
- Tap Generate and the app compiles your report
One list, several reports
The item picker is how one walkthrough turns into the reports each person needs:
- Per trade. Choose Custom selection and pick only the electrician's items; send that PDF to the electrician. Sort the list by Assigned To first so the items sit together in the picker.
- Progress report. Incomplete only, generated each week, shows the owner what is still open without the noise of what is done.
- Closeout. All items, with every photo, as the record that the work was accepted.
The report is a snapshot. Items you change afterwards do not change the PDF; generate a new one.
What's in the report
Every report includes:
- Cover page. Your company logo and name, project name, project number, consultant, client and item count. The logo and name come from Settings, Customize Fields (see Company defaults and custom field labels). Turn Include Cover Page off there if you only want the item pages.
- Itemized list. Every item with its description, floor, room, sheet, assignment, resolution date, status and comments. If you have renamed any field labels, the report uses your names.
- Photos. Rendered inline with the issue they belong to, with any annotations you drew and the timestamp if you have timestamps turned on.
- Digital signature. Optional signature capture if you want the inspector, contractor or tenant to sign off on the walk. The signature prints on the report.
Sharing the PDF
Once the PDF is generated, tap the Share button. You can:
- Email the PDF directly
- AirDrop it to a colleague
- Save it to Files, Drive or another storage app
- Open it in any app that accepts PDFs
Reports with many photos can be large. If a report bounces from a corporate mail server, save it to Files or Drive and send a link instead, or split the list into smaller reports with Custom selection.
Outlook on iPhone and iPad. If you pick Outlook from the share sheet and nothing happens, or a pop-up tells you to open Outlook when it is already open, Outlook's share extension failed on its side. This usually means Outlook is out of date or has not been opened since its last update, and on some work accounts it is a company policy that blocks files from apps the company does not manage. Either way the workaround is the same: choose Save to Files, then open Outlook, start the email and attach the report from Files. Update Outlook when you can.
Removing the watermark
PDF reports are a Premium feature. Premium subscribers can also turn the small "Punch List" watermark off under Settings, PDF Report Watermark, so reports appear fully branded to your company; it is on by default.
